Roles & Permissions (SC)

Last updated on Jul 02, 2026

Introduction

Through Access Rules and Groups, the Admin can define roles and permissions for each type of user. This ensures that users have appropriate access levels to different system functionalities.

Configuring Roles and Permissions

Navigating to Access Rules & Groups

  1. Go to the Settings screen.

  2. Select the Members option.

  3. Open the Access Rules & Groups tab.

Defining Access Rules

  1. Click “+ Add New” to create a new access rule.

  2. Enter the Access Rule Name.

  3. Optionally, provide a Description for clarity.

  4. Define permissions for all system functionalities, including:

  • Dashboard

  • Sales

  • Operations

  • Warehousing

  • Reports

  • Network

  • Settings

  1. Specify whether a user can view only or edit each section.

Creating Groups and Assigning Users

Once Access Rules are defined, navigate to the Groups section.

  1. Create a new group that follows the previously configured rules.

  2. View and manage the users assigned to each group.

Assigning Groups to Users

In the User Profile, the Admin only needs to assign the appropriate Group. This ensures the user inherits all predefined permissions automatically.

Best Practices

  • Clearly define roles before creating access rules to avoid unnecessary modifications later.

  • Regularly review permissions to ensure they align with business needs.

  • Use descriptive names and descriptions for Access Rules to make management easier.

Conclusion

By following these steps, Admins can efficiently manage user access, ensuring security and appropriate permission levels across the system. If you have any questions, feel free to reach out to support.

  1. Access Rules = What someone can do

Access Rules define the permissions, for example:

  • Can view reports

  • Can edit shipments

  • Can manage users

These are the atomic actions, the building blocks of access control.

  1. Groups = Who gets which access rules

Groups are collections of users bundled together for reuse and simplicity. Instead of assigning permissions user-by-user, we assign them to a group and just place the user in the right group.

This setup allows:

  • Faster onboarding/offboarding

  • Centralized updates to permissions (change it once in the group, and it applies to everyone in that group)

  • A cleaner, more understandable model (e.g., “Warehouse Staff” or “Finance Managers”)

  1. Groups also support user segmentation

Beyond just access control, groups help segment users, which unlocks many valuable use cases for future development. For example:

  • An admin could send a notification to all users in a specific group with one click.

  • Reporting and analytics by group.

  • Role-specific feature flags or UI customization.

  • Easier integration with other systems (e.g., syncing users by group to a downstream tool).

This gives flexibility and scalability: not just for us internally, but for our customers too as their teams and operations evolve.

In short, Access Rules handle what users can do, and Groups handle how we manage and scale that access, while also setting the stage for more advanced features in the future.
